{"id":836,"date":"2022-02-23T15:14:45","date_gmt":"2022-02-23T15:14:45","guid":{"rendered":"https:\/\/www.spotlight.com\/?p=836"},"modified":"2025-11-26T09:06:04","modified_gmt":"2025-11-26T09:06:04","slug":"safeguarding-policy","status":"publish","type":"post","link":"https:\/\/www.spotlight.com\/the-small-print\/safeguarding-policy\/","title":{"rendered":"Safeguarding Policy for Child Actors and Performers"},"content":{"rendered":"<h2><b>Purpose and aim of the policy<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Talent Systems Europe Limited recognises that the protection of children is of paramount importance, and this Policy has been introduced for the protection and safeguarding of children who are using, or may use, our services.<\/span><\/p>\n<h2><b>Scope of the policy<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">This Policy applies to children and young performers who have an account or are applying for an account up to the age of 18, or who are attending a casting at our studios.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This Policy applies to individuals who may come into contact with, or work directly with, children and includes:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">All staff (under Spotlight, Tagmin and any other TSEL line of business)<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Individuals who are representing or working on behalf of TSEL e.g. Freelancers<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Individuals working within TSEL&#8217;s premises e.g. contractors and cleaners<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Individuals hiring our studios for the purpose of auditioning children e.g. casting directors, producers and directors<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Expectations of users of any TSEL platform<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">This policy covers all activity related to the company whether on our platform and\/or premises, or anywhere we may host.\u00a0<\/span><\/p>\n<h2><b>Policy statement<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Talent Systems Europe Limited does not undertake any activities that would be regarded as regulated activity as defined by the Safeguarding Vulnerable Groups Act (2006), however this Policy has been developed as part of our commitment to protecting and safeguarding children. Our policy encompasses the following statements.<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will champion the protection and safeguarding of children within our business and across the industry through working with industry professionals and partners<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will promote our Safeguarding Policy to parents, guardians and industry professionals who represent and work with children<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will promote our Safeguarding Policy to all those who hire our studios<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will give equal priority to keeping all children and young people safe regardless of their age, disability, gender reassignment, race, religion or belief, sex, or sexual orientation<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will act upon any concerns reported and develop procedures to ensure that matters are handled appropriately and in accordance with legislation<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will take appropriate action within our service powers in accordance with safeguarding investigations\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will create a safe environment across our platform<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will create safe spaces for children when they are in attendance at our events<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will implement safe recruitment procedures<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will ensure all company individuals as defined by the scope understand their responsibilities in safeguarding children<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We will assign Safeguarding responsibility to the most senior person within the company\u00a0<\/span><\/li>\n<\/ul>\n<h2><b>Our commitment to preventing children from harm\u00a0<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">To support TSEL&#8217;s aims in protecting children from potential harm, we commit to implementing best practices across our platform and within our other interactions with young performers. To enhance this approach, we have undertaken a risk assessment against the ICO\u2019s Age Appropriate Design Standard and attested its compliance with the Standard.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The best practices that the company has implemented include:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Terms and conditions presented in the application process explicitly state that no child under 18 can access a Spotlight account<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">All young performer accounts of children (under 18) must be owned and maintained by a parent or legal guardian, and processes are in place to remove access if there is concern that this is not being met<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Parent or legal guardian contact details are a mandatory requirement in the Spotlight application process<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Young performer accounts are restricted on Spotlight to ensure only their trained and vetted representatives can identify and apply for opportunities\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Mandated date of birth requirement during Spotlight registration process\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Young performers can only apply to Spotlight and\/or set up a Tagmin account using an invitation from a vetted Agency<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">All Young Performers must continue to be represented by a vetted agent to maintain their Spotlight membership<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Comprehensive vetting of all Agencies who may represent young performers including requirements for having Safeguarding policies and understanding of child licensing requirements<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Comprehensive vetting of Casting Professionals<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Report concern facility within posted jobs and breakdowns<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Ensuring that staff who are working with children have undertaken appropriate checks including DBS certificates<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">For any one to one session for Young Performers with Spotlight representatives, a parent\/guardian or adult is required to be present, whether that be in person or online<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Robust data protection and confidentiality procedures that ensures no personal information is ever disclosed to non-authorised parties<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Images for headshots are reviewed to ensure appropriateness as well as quality on Spotlight<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Education within Spotlight of this Policy and procedures implemented to safeguard children<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Leading on education within the industry to develop awareness and understanding of professionals who may work with children\u00a0<\/span><\/li>\n<\/ul>\n<h2><b>Expectations of Spotlight and Tagmin users<\/b><\/h2>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Agents representing Young Performer clients and casting professionals hiring young talent are expected to know and understand current <\/span><a href=\"https:\/\/www.nncee.org.uk\/page-nav\/10\/uk-performance-legislation\"><span style=\"font-weight: 400;\">legislation<\/span><\/a><span style=\"font-weight: 400;\"> and best <\/span><a href=\"https:\/\/spotlight-cmsmedia.s3-eu-west-1.amazonaws.com\/media\/2985\/compressed-pma-spotlight-children-guidelines-june-2022-2022_compressed.pdf\"><span style=\"font-weight: 400;\">practice<\/span><\/a><span style=\"font-weight: 400;\"> guidelines for working with children and young people<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">If casting or hiring Young Performers, including when holding auditions with children in our Rooms and Studios, casting professionals must understand their responsibilities regarding <\/span><a href=\"https:\/\/learning.nspcc.org.uk\/safeguarding-child-protection\/for-performing-arts\"><span style=\"font-weight: 400;\">Safeguarding<\/span><\/a><span style=\"font-weight: 400;\">, DBS checks and what is required under current law<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Casting professionals, agents and parents\/guardians should exercise thoughtful caution when sharing profiles or images of our Young Performer profiles. Profile links should only be shared for professional practice, for the purposes of representing a client or hiring the performer for a job<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Agents representing Young Performers should password protect their websites where client profile information is held<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">When uploading media of Young Performers to the platform, parents\/guardians and agents should ensure the media is professional and appropriate for the purposes of casting only<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">We strongly recommend that Young Performers under the age of 16 should be accompanied by a parent\/guardian if attending spaces for audition<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">If an agent, parent\/guardian or casting professional has any concern regarding a child\u2019s circumstances, they are expected to report to the appropriate parties (see <\/span><b>Reporting an Incident <\/b><span style=\"font-weight: 400;\">below) and if any concern arises regarding a casting posted on Spotlight, this should be reported to the Spotlight team asap at <\/span><span style=\"font-weight: 400;\">feedback@spotlight.com<\/span><span style=\"font-weight: 400;\"> or using the \u2018report concern\u2019 feature in the agents\u2019 jobs feed.<\/span><\/li>\n<\/ul>\n<h2><b>Supporting the Policy<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Talent Systems Europe Limited has internal procedures in place to support this Policy, which provide staff and representatives with direction on how to:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Escalate a potential Safeguarding incident within the company<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Report a potential Safeguarding incident to relevant authorities<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Report a potential Safeguarding incident to other business stakeholders<\/span><\/li>\n<\/ul>\n<h2><b>Contact details<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Managing Director Matt Hood takes lead responsibility for safeguarding at the highest level of the organisation.
